Prime Time Palm Beach County 25th Anniversary Video

For Prime Time Palm Beach County’s 25th anniversary, our brief was ambitious and purpose driven: create a flagship film that helps viewers feel the organization’s impact since 2000 across afterschool and summer programs. We opened with discovery meetings to align on audience, tone, and outcomes. Together with the Prime Time team, we mapped core story beats that included how quality afterschool supports children and youth, how professional development lifts afterschool practitioners, and how partnerships and donors sustain the mission over time. From those sessions we produced a creative treatment, an interview plan, a production calendar, and a location list that covered multiple afterschool sites so the film could show the breadth of programs rather than only describe them.

Pre production focused on clarity and logistics. We drafted interview questions for board members, the president, frontline practitioners, and alumni so each voice connected to a specific storyline such as quality, access, equity, and long term impact. We built a visual language guide with look, pacing, and lower thirds, and a shot matrix to capture authentic moments with kids and staff at program sites. Because certain scenes only occur during specific activities and school schedules, we structured production as a rolling calendar that followed where the stories naturally happened.

Production ran for more than six months. Multiple videographers rotated to cover interviews and B roll as opportunities arose at different afterschool locations. Some weeks focused on leadership interviews and stakeholder context. Other weeks were dedicated to on site coverage so the film could move from neighborhood to neighborhood and show the scale of Prime Time’s presence. We worked lean and nimble, mixing gimbal moves with observational handheld to keep footage candid and human. After each shoot day, media was backed up, verified, logged, and labeled so editorial could move quickly.

Post production began while final shoots were still underway. We tagged hundreds of clips and built an assembly around the anniversary arc: origin, growth, community impact, and what comes next. We layered in the most resonant lines from board members, the president, and program staff, then shared a rough cut for notes. After one consolidated revision, we moved to finishing with color grading for warmth and consistency, dialogue and natural sound mix with an uplifting score, and simple graphics that frame key milestones and outcomes. The result is a cohesive and emotionally grounded piece that honors 25 years of work and clearly shows how Prime Time strengthens and expands quality in afterschool and summer programs.

Final delivery included the hero anniversary film mastered for web and large screen playback, platform specific versions for social in widescreen and vertical, and a curated B roll package for future communications. We also provided a short usage guide that covers recommended thumbnails, suggested captions and posting cadence, and tips for embedding the video into presentations and donor updates. From first conversation to final export, this project shows how a thoughtful, staged production can capture two and a half decades of service while giving your team practical assets to engage communities, inspire partners, and fuel the next 25 years.
